Insight in the Body (“the Practice”) is committed to protecting the privacy of your personal and health information. This Privacy Policy explains how your information is collected, used, and disclosed in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

The Practice collects information that is reasonably necessary to provide counselling and coaching services. This includes:

  • Personal Information: Name, contact details (email, phone number), and emergency contact information.

  • Sensitive Information: Health information, including clinical history, session notes, and psychological assessments.

  • Technical Data: When visiting our website, we may collect non-identifiable information such as your IP address, browser type, and usage patterns via cookies to improve user experience.

3. Anonymity and Pseudonymity

Where legal and practicable, you have the option of interacting with the Practice anonymously or using a pseudonym. However, as clinical records are required for professional indemnity and safety, it is generally impracticable to provide counselling services without your real identity.

Information is collected directly from you through:

  • Digital intake forms and booking software.

  • Consultations via Telehealth (video/audio).

  • Written or verbal communication (email, SMS).

5. Purpose of Collection

Your information is collected for the following purposes:

  • To provide professional counselling services.

  • To maintain accurate clinical records as required by professional codes of conduct.

  • To process payments and manage administrative tasks.

6. Disclosure of Information

Your personal information will not be shared with third parties without your consent, except in the following circumstances:

  • There is a legal obligation to do so (e.g., subpoena).

  • There is a serious risk of harm to yourself or others.

  • Required for mandatory reporting (e.g., child protection).

  • To communicate with your GP or other health professionals, provided you have given written consent.

7. Data Security and Storage

The Practice is entirely online (Telehealth). Your data is stored using secure, encrypted practice management software that complies with Australian privacy standards.

  • Overseas Disclosure: Some data may be processed or stored by third-party providers (such as Google Workspace or practice management platforms) with servers located outside of Australia (e.g., the United States). By using these services, you consent to this transfer.

  • Data Breaches: In the unlikely event of a data breach likely to cause serious harm, the Practice will notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme.

8. Access and Correction

You have the right to request access to the personal information held about you. You may also request corrections if you believe the information is inaccurate or out of date.

9. Complaints

If you have concerns about how your privacy has been handled, please contact the Practice via contact form. If you are not satisfied with the response, you may contact the Office of the Australian Information Commissioner (OAIC).
